Microsoft 365 Groups

Microsoft 365 Groups is a service that works with the Microsoft 365 tools you use already so you can collaborate with your teammates when writing documents, creating spreadsheets, working on project plans, scheduling meetings, or sending email.

Groups come equipped with a shared inbox for email conversations between members, a shared calendar for scheduling events related to the group, a shared storage space as a central place for the group to store and share files, and a shared OneNote notebook for gathering ideas, research, and information.

Who is Eligible for Microsoft 365 Groups?

Microsoft 365 Groups are available to UGA Departments and Units, as well as recognized Student Organizations.

Microsoft Teams and Group Expiration Policy

To maintain an efficient platform at the University of Georgia, Microsoft Teams and Microsoft Groups that remain inactive for a year will be automatically deleted. Members should regularly log in and engage with the platform to ensure a Microsoft Team or Microsoft Group remains active. Staying active helps everyone stay connected, communicate effectively, and get the most out of these tools. Owners will be notified by email at 30 days, 15 days, and 1 day before the deletion.

Any of the following actions will automatically renew a group:

  • SharePoint: View, edit, download, move, share, or upload files. (Viewing a SharePoint page doesn't count as an action for automatic renewal.)
  • Outlook: Join or edit group, read or write group messages from the group, and like a message (Outlook on the web).
  • Teams: Visit a Teams channel.
  • Viva Engage: View a post within a Viva Engage community or an interactive email in Outlook.
  • Forms: View, create, or edit forms, or submit a response to a form.
