Changing the Location of an Asset - Basic Add

When changing the location of an asset, the location code will need to be changed.  The location code is the physical location of the asset.  For example, the location code for Brooks Hall Room 103 is 0055_103.

Terms to Know:  Effective Sequence is used to differentiate when multiple transactions occur on the same effective date. This is when more than 1 row is added with the same effective date. It uses the effective sequence to identify the latest transaction. The default effective sequence is 0, and it keeps on increasing by 1 whenever a new row with the same effective date is added.

In this article, you will learn to change the location of an asset using a Basic Add Screen.

1. Step 1

Classic home tile selected on FMS

First, log into the Financial Management System.

Click the Classic Home button.

2. Step 2

On basic add page, go from Main Menu > Asset Management > Asset Transactions > Owned Assets > Basic Add

To navigate to the Basic Add page, select:

Main Menu > Asset Management > Asset Transactions > Owned Assets > Basic Add

3. Step 3

Business unit filed selected

The Basic Add search page is displayed.

The Business Unit  field will default to the value defined in your user Preferences.

Enter the appropriate information into the Business Unit field.

4. Step 4

Leave the Asset Identification field blank

Leave the Asset Identification field blank.

5. Step 5

Tag Number field

Enter appropriate information into the Tag Number field.

Example shown here:  " 674390 " in the Tag Number field

6. Step 6

Click the Search button.

Asset General Information tab will display

The Asset General Information Tab will display.

Location/Comments/Attributes tab

Click the Location/Comments/Attributes tab.

Add Row (+) icon near the top right of the Location selection

The Location Tab is displayed with the location information.

Click the Add Row (+) icon near the top right of the Location section.

10. Step 10

In the Effective Date field, a new effective date row will display with the current date listed as the Effective Date.

To select a Location, click the lookup magnifying glass to the right of the Location field.

To narrow down your search results, you can search by description.

Enter the appropriate information into the  Description field.

13. Step 13

Look Up button selected

Click the Look Up button.

14. Step 14

Select the appropriate Location Code link

A list of Coverdell Center Locations will display.

Select the appropriate Location Code link.

15. Step 15

save button selected

Click the Save button.

16. Step 16

The new location code is populated in the Location field

The new location code is populated in the Location field. You have now changed the location of the Asset.
