When changing the location of an asset, the location code will need to be changed.  The location code is the physical location of the asset.  For example, the location code for Brooks Hall Room 103 is 0055_103.

Terms to Know:  Effective Sequence is used to differentiate when multiple transactions occur on the same effective date. This is when more than 1 row is added with the same effective date. It uses the effective sequence to identify the latest transaction. The default effective sequence is 0, and it keeps on increasing by 1 whenever a new row with the same effective date is added.

In this article, you will learn to change the location of an asset using a Basic Add Screen.

1. Step 1

First, log into the Financial Management System.

Click the Classic Home button.

To navigate to the Basic Add page, select:

Main Menu > Asset Management > Asset Transactions > Owned Assets > Basic Add

The Basic Add search page is displayed.

The Business Unit  field will default to the value defined in your user Preferences.

Enter the appropriate information into the Business Unit field.

Leave the Asset Identification field blank.

Enter appropriate information into the Tag Number field.

Example shown here:  " 674390 " in the Tag Number field

Click the Search button.

The Asset General Information Tab will display.

Click the Location/Comments/Attributes tab.

The Location Tab is displayed with the location information.

Click the Add Row (+) icon near the top right of the Location section.

In the Effective Date field, a new effective date row will display with the current date listed as the Effective Date.

To select a Location, click the lookup magnifying glass to the right of the Location field.

To narrow down your search results, you can search by description.

Enter the appropriate information into the  Description field.

Example shown here:  " Coverdell " in the Description field

Click the Look Up button.

A list of Coverdell Center Locations will display.

Select the appropriate Location Code link.

Click the Save button.

The new location code is populated in the Location field. You have now changed the location of the Asset.
