Individuals are allowed to assign a “Traveler Assistant” or “Travel Arranger” role inside the traveler profile. The individual assigned the “Traveler Assistant” or “Travel Arranger” role will be allowed to create travel arrangements and itineraries for the traveler. After initially completing his/her own profile, the traveler must access his/her profile again and assign the “Travel Assistant” or “Travel Arranger” role there. This is completed by the traveler logging into Concur, selecting the word “Profile” on the top of the page, then selecting the option “Setup Travel Assistants”. Then, under the Assistants and Travel Arrangers box, the traveler will see a Add an Assistant on the right. A pop up box will display. In the box under “Assistant” begin typing the person’s last name that will be assigned the “Travel Assistant” or “Travel Arranger” role.
NOTE: This is a state system. Do not be alarmed to see individuals from other state agencies displayed in the results as you are typing. Once the traveler has selected the correct individual, he/she should select whether or not the individual can only book travel or if the individual is the primary assistant for travel. If the individual should just book travel for the traveler, then the traveler should select “Can book travel for me”. If the traveler wants the assistant to view, make changes to and modify the traveler’s profile, then select “Is my primary assistant.” If the traveler wants the assistant to be able to do both, he/she should select both options. Once the box or boxes have been selected, the traveler should select save.
Note: The individual being assigned the “Travel Arranger” role will need to have logged into the Concur System and established their own Traveler Profile before he/she will be accessible to have the “Travel Arranger” role assigned to him/her.
