Finding Your Control Departments

   Overview   

You can use the UGA_KK_TRANS_DEPTS query to find your departments with control information.

   Instructions   

  1. Step 1: Click the Employee Self Service dropdown button to activate the menu.
  2. Step 2: Click the UGA Financials link.
  3. Step 3: Click the Query Viewer tile.
  4. Step 4: Enter "UGA_KK" to search for the query.
  5. Step 5: Click the Search button.
  6. Step 6: Select the HTML option to see the report online.
  7. Step 7: Click the Options for this site button.
  8. Step 8: Select Always allow from the drop-down menu items.
  9. Step 9: Enter the appropriate information into the  Department  field.
  10. Step 10: Click the View Results button.
  11. Step 11: The results are returned.
  12. Step 12: The second column gives the transaction type for each of the selected department.
  13. Step 13: The Status column indicates whether the department is currently Active (A) or Inactive (I).
  14. Step 14: The last column shows which department controls the budget for the department.
  15. Step 15: You can use the browser print features to print the report, if needed.

In this article, you will learn how to run a query to find the Departments that accept transactions.

1. Step 1

First, log into the UGA Financial System. 

Click the Employee Self Service dropdown button to activate the menu.

Click the UGA Financials link.

Click the Query Viewer tile.

The Query Viewer opens so that you can search for the query you need.

Note: If you have already added it to your My Favorite Queries list, you can run the query from there without searching.

Enter "UGA_KK" to search for the query.

Click the Search button.

The UGA_KK_TRANS_DEPT query is shown in the list.

Select the HTML option to see the report online.

If you haven't turned on your pop-up preferences, click the Options for this site button.

Select Always allow from the drop-down menu items.

Enter the appropriate information into the  Department  field. This allows you to search for all Departments that begin with a set of numbers. Enter the numbers and then the % sign to search for all departments that begin with those digits.

Example shown here: "32" into the Department (can use %) field.

Click the View Results button.

The results are returned. The report lists the Departments and descriptions.

The second column gives the transaction type for each of the selected department.

A 2 indicates that the department can have transactions and also controls budget at that level.

A 3 indicates a department that can only receive transactions.

The Status column indicates whether the department is currently Active (A) or Inactive (I).

The last column shows which department controls the budget for the department.

If the result is 00000000, it means N/A since this department is a control department.

You can use the browser print features to print the report, if needed. You can also use hyperlinks on the page to download the data to an Excel Spreadsheet.
