Entering Prior Period Adjustments for an Elapsed Timesheet Employee as a Supervisor

   Overview   

Employees cannot make edits to their timesheets after payroll has already run. Supervisors and Time & Absence Approvers must make these types of adjustments. A prior period adjustment can be performed for up to 28 days, and within the same calendar year. Beyond that, a request will need to be submitted to central payroll. Once the adjustment is entered on the timesheet, the system calculates the adjustment and will pay the difference on the next pay cycle.

Prior period adjustments can be both negative and positive amounts:

  • Positive Prior Period Adjustment Ex: An employee worked 8 additional hours. These hours can be added to the previous pay period.
  • Negative Prior Period Adjustment Ex.: An employee missed 8 hours of work but forgot to remove the hours from the timesheet. These hours can be deducted from the previous pay period.

In this article, you will learn the steps to enter prior period adjustments for an elapsed timesheet employee as a supervisor in OneUSG Connect.

1. Step 1

The Manager Self Service page is displayed with the Team Time tile highlighted.

First, log into OneUSG Connect.

From the Manager Self Service homepage in OneUSG Connect, click the Team Time tile.

2. Step 2

The Team Time page is displayed with the Filter button highlighted.

The Team Time page is displayed with options to search for the appropriate employee you need to enter prior period adjustments.

3. Step 3

The Filters pop-up window is displayed with the Employee ID field highlighted.

The Filters menu is displayed.

Enter the appropriate information in the available search field(s).

Example shown here:"1234567" into the Employee ID field.

4. Step 4

The Filters pop-up window is displayed with the Employee ID field highlighted.

Select the appropriate employee from the search results.

Example shown here:  "Mark Smith" from the Employee ID field.

5. Step 5

The Done button is highlighted.

Click the Done button.

6. Step 6

The Team Time page is displayed with the Select Employee section highlighted.

The Team Time page is displayed with the searched employee.

Chose the appropriate employee in the Name/Title field to access the timesheet.

Example shown here: Mark Smith from the Name/Title field.

7. Step 7

The Weekly Timesheet page is displayed with the previous pay period arrow highlighted.

The Weekly Timesheet for the selected employee is displayed.

To navigate between the pay periods, click the appropriate arrow.

8. Step 8

The Weekly Timesheet page is displayed with the time entry field for Tuesday highlighted.

The previous paid period Enter Time page is displayed.

Enter the appropriate hours you worked into the corresponding Date fields.

Examples shown here: " 8" into the 27-Wednesday time field.

9. Step 9

The time entry field for Tuesday and Wednesday is highlighted.

Repeat the steps to enter the appropriate hours worked per day, into the remaining fields. 

10. Step 10

The Add/View comments graphic is highlighted.

To add a comment, click the Add Comments graphic.

11. Step 11

The Time Reporting Comments pop-up window is displayed with the Click to add comments field highlighted.

The Time Reporting Comments page is displayed.

Enter appropriate information into the Add a new Comment field.

12. Step 12

The Time Reporting Comments pop-up window is displayed with the Add Comment button highlighted.

Once the information is entered, click the Add Comment button.

13. Step 13

The Close button is highlighted.

The comment is added to the day selected for other to view.

Click the Close button.

14. Step 14

The Weekly Timesheet page is displayed with the Submit button highlighted.

When all time is entered and correct, click the Submit button.

Note: Time is only saved when you click the Submit button.
