Splitting Receipts in a Pending Expense Report

When you pull the My Wallet hotel line into the expense report it is for 1 lump sum.  You need to use the Receipt Split function to breakup the total by rate per day.

 

In this article, you will walk through the steps to split an expense line on a pending expense report.

1. Step 1

First, log into the Financial Management System

Click the Expenses tile.

Click the My Expense Reports tile.

The list of pending expense reports is displayed. Click the appropriate expense report.

The selected expense report is displayed.

If you have an expense line with an attachment that needs to be split across multiple days, click the Receipt Split button.

The Receipt Split page is displayed.

To add a row, click the Split With This Item button.

A new row is created. To select the date for the new row, click the  Calendar  icon next to the Date field.

A calendar is displayed. Click the appropriate expense date for the row.

To select an expense type, click the Expense Type lookup magnifying glass.

The Expense Type Search window is displayed. The Frequently Used tab lists the recently used expense types. Click the appropriate expense type.

Click the D-Lodging expense type.

Enter appropriate information into the Description field.

Example shown here: " Day 2 lodging " in the Description field.

Enter appropriate daily expense into the Amount  field.

Example shown here: " 200.00 " in the Amount field.

If an expense is not reimbursable, click the Personal Expense option.

To split the receipt further and add another row, click the Split With This Item button.

A new row is created. To select the date for the new row, click the Calendar icon next to the Date field.

A calendar is displayed. Click the appropriate expense date for the row.

To select an expense type, click the Expense Type lookup magnifying glass.

The Expense Type Search window is displayed. Click the All Types button.

Use the scrollbar or drop-down menus to explore the expense types. Click the appropriate expense type.

Enter appropriate information into the  Description  field.

Enter appropriate daily expense into the  Amount  field.

Example shown here:" 200.00 " in the Amount field.

When splitting a receipt, it is important to remember that the split amount should equal the current total after all the splits are created. To satisfy this condition, you will need to edit the amount of the original line to reflect the split amount.

Enter the appropriate split amount into the Amount  field of the original line.

Press  [Enter]  to refresh the amounts at the top of the page.

The Remaining line should read 0.00 USD.

Click the Done button.

The lines are now static and can not be edited.

To confirm the split, click the Done button again.

The expense report is displayed once again, but now the split is displayed as different expense lines.

Click one of the new lines to review the line details.

To review accounting details, click the Accounting button.

The chartstring for the expense line is displayed. The line should be prefilled with the same ChartField values as the original line.

If you need to change these values, edit the fields manually or enter the appropriate accounting tag into the Accounting Tag field.

Use the scrollbar to review the full chartstring.

When you are done reviewing the chartstring information, click the Done button.
