Teams Phone FAQ

Summary

Frequently Asked Questions about Teams Phone

Body

Why should we enroll in Teams Phone instead of using the built-in dialer?

The built-in dialer in Teams only allows for calls to other Teams users within the University. Full Teams Phone enrollment provides you with a phone number that can place calls and be called from outside phone numbers.

Can multiple users share a phone number?

Multiple user accounts cannot share a phone number directly, but a Shared Device can be set up for common area desksets and Call Queues can be used to distribute calls among a group of individual users

Can Shared Device phone sets receive voicemail?

Yes, voicemail for a Shared Device line can be retrieved from the phone set itself.

Can faxes be converted to Teams Phone?

Faxes cannot be converted to Teams Phone at this time.

How do I schedule quiet time on the mobile app?

In Teams, click on your initials or profile pictureSelect Notifications and Click During quiet time.

Swipe right on the switch to certain hours.

Set your Start and End times and/or Quiet Days (for when you want to block all notifications)

Do students have access to Teams Phone?

Teams Phone is not included in the student license. If a department wishes to provide a Teams Phone for a student, they must do so as a Shared Device. It is not linked directly to the student’s MyID.

What sort of headset/audio/camera do you recommend?

There are many options available to fit your own unique needs and preferences. You can find a list of Teams Certified Devices here.

Can I use Teams Phone on my personal device?

The free Teams Mobile app can be installed on a personal iOS or Android device for your convenience. Your Departmental Telephone Representative (DTR) or Departmental Network Liaison (DNL) can provide installation and end user support. Use of the Mobile app is completely optional and not a required component of Teams Phone.

Any university business conducted on a personal device is subject to an open records request. For more information about open records, please contact Bob Taylor, btaylor@uga.edu.

How can callers that are still on the campus PBX phone system reach me on Teams Phone?

Callers that are still on the campus phone system will need to dial your number like it is an outside line. EX. 9-706-XXX-XXXX

Does the Teams Phone desktop application run on Mac and Linux?

Teams Phone works in both Client and web browser mode with Mac and PC devices. There is no Teams Client for Linux, but it can be used in a web browser.

Can we still set call coverage?

The default routing path is to send callers to voicemail after 20 seconds if the call is unanswered. You may change the routing pattern to go to another number in your Settings menu.

Can we dial 911 through Teams Phone?

We are making the 911 data in Teams as robust as possible, but because of the mobile nature of the device, we recommend that you use your native dialer on your cellphone to place 911 calls.

Can UGA Alert messages go to Teams Phone?

Yes, if you have your UGA Alert options set to ring your UGA phone number, those calls will still be presented to you in Teams Phone. To ensure you receive UGA Alert calls while in a meeting or on Do Not Disturb, please follow the instructions for adding them to your priority access list

Do you have to already have a UGA phone number to move to Teams Phone? Can you change your UGA phone number when you convert?

If you don’t currently have a phone number on the campus phone system or if you would like to change your phone number when we move you over to Teams Phone, we can provide a new 706-542 number for you.

Can individuals at remote campuses or remote workers not in the Athens area use Teams Phone?

Yes, we can port phone numbers from remote campuses into Teams Phone or assign users area code 706 phone numbers if that would make more sense depending on their business model.

Can multiple phone numbers be assigned to the same user?

Not directly, but automated attendants or call queues may provide a work-around solution.

Can Shared Devices be assigned to previously established MyIDs?

No, Shared Devices should not be assigned to previously established departmental IDs. Telephone Services will request a new ID with the Departmental Telephone Representative as the owner.

Can departments purchase their own desk sets to use with Teams Phone?

If a department wishes to purchase desk sets for their users, those sets must be purchased through Telephone Services. This ensures that the set will have the correct configuration and settings to work with our phone system.
