Updating a Customer Conversation

   Overview   

The Financial Management System allows you to review a conversation with a customer contact, track broken promises, and define actions to be taken. You can add additional conversation information for an existing customer. You can view conversations and the status of promises made by customers using conversations on the Conversations tab of the Collections Workbench.

The UGA Athletic Association contacted you with a Promise to Pay for an amount past due. In this article you will add a new Promise to Pay comment for the amount past due.

Note: This article was recorded using sample values. Actual values may differ in the production version of the UGA Financial Management System.

1. Step 1

First, log into the Financial Management System.

Click the Classic Home button.

To navigate to the View/Update Conversations menu, select:

Main Menu > Accounts Receivable > Customer Interactions > Conversations > View/Update Conversations

The View/Update Conversations page is displayed.

Enter the appropriate information into the SetID field.

Enter the appropriate information into the  Business Unit  field.

Example shown here: " 66001 " in the Business Unit field"

Click the Search button.

Click the appropriate Cust ID link.

The Conversations page is displayed.

Before entering the new Promise of Payment, make sure the Promise of Payment check box is checked.

If necessary, use the scroll bar to locate the Keywords section of the page.

Click the Add Conversation Entry button.

Enter the appropriate information into the Comments field.

Click the Save button.

To view all Comments, click the View All link.

The Comments are displayed by latest date first. The Comment you entered is the first one to display in the Conversation Entries section of the page.

The first Comment is displayed beneath the most recent Comment you just added.
