Adding or Editing Routings by Department(s) for Spend/Journal Approvers

Security roles and approval routings for Spend Approvers and Journal Approvers can be created and edited as needed.

Workflow routing is driven by two things: Roles and Route Controls (or "routings").

Roles determine the desired approver pool (e.g. Spend Approver 1, Journal Approver 1, KK Jrnl Approver 1). Routings determine the departments for which the approvers will approve transactions.

Both roles and route controls are assigned on the same page, outlined in this article. There is no Access Request Form for these roles, as only the Chief Business Officers are authorized to make these role assignments.

Quick Start to Financials Approval Pools

In this article, you will learn the steps to add or edit roles and routings for Spend Approvers, GL Journal Approvers, KK (Budget) Journal Approvers, and Expense Managers.

1. Step 1

First, log into the UGA Financial Management System. 

Click the Classic Home tile.

To navigate to the Route Control Maintenance page, select:

Main Menu > UGA > UGA Access Request > Route Control Maintenance

The Route Control Maintenance search page is displayed. To get all possible results, click the Search button.

The search results are displayed. Click the appropriate User ID to assign workflow roles and approval routings.

You can click the View 100 link to view the first hundred Department Routing Values in the list.

To delete the workflow role and routings associated with the role for the employee, click the Role Name Delete row [--] button.

Click the OK button to confirm your selection.

Click the Save button.

To add a workflow role and routings for the User ID, click the Role Name Add new row [+] button

A blank Role Name section is displayed.

Click the look up magnifying glass next to Role Name field.

The Look Up Role Name pop-up is displayed.

To associate the new role with the appropriate department(s),

Click the Department Routing Value look up magnifying glass.

Click the appropriate department routing value.

Click the Add new row button to add another row.

The Workflow Routings are added.

Click the Save button.

The roles and routings are added for the User ID.

You can select and click the Delete row button to delete a workflow routing for the UGA Journal Approver 2 list.

Click the OK button to confirm your selection.

The specified workflow routing is deleted from the list.

To delete a row from the Expense Manager Routings, click the Delete row button.

To add a row, click the Add new row [+] button.

A new row will be created under the specified row.

Click the look up magnifying glass under Chartfield From field to add a range of departments for the specified User ID.

Select the approriate Chartfield link.
