Running the Student Position Info Queries

   Overview   

The "Student Position Info" query is actually a set of three queries for student worker positions: Student Employee Lookup, Show Students w/Multiple Positions, and Show Combined Reported/Standard Hours.

  • Student Employee Lookup shows student worker position information, including the Reports To and T&A Approver for the position. It will also show all of the student's postions across campus. The prompt asks for an Empl ID.
  • Show Students w/Multiple Positions shows students that have multiple positions on campus. You can search by top-level department or specific department, corresponding with the levels on the department tree.
  • Show Combined Reported/Standard Hours shows the total number of hours reported for the student this current week across all positions. The search prompts are top level department and specific department again.

In this article, you will learn the steps to run a query on the OneUSG Connect System Manager Reporting Page in order to view student worker information, including students with multiple positions and total reported hours in a current pay period.

1. Step 1

The Manager Self Service page displayed with the System Manager Reporting tile highlighted.

First, log into OneUSG Connect.                         

On the Manager Self Service homepage, click the System Manager Reporting tile.

2. Step 2

The System Manager Reporting page is displayed with the Workforce Administration drop-down menu highlighted.

The System Manager Reporting page is displayed.

Under the Queries menu, click the Workforce Administration drop-down menu to view the available queries.

3. Step 3

The System Manager Reporting page is displayed with the Student Posn Query Group link highlighted.

A list of available Workforce Administration queries is displayed.

Click the Student Posn Query Group link.

4. Step 4

The Student Employee Look-up link is highlighted.

The 180_HR_STUDENT_POSITIONS_QRY (Student Positions Info) query is displayed on the right side of the screen.

Unlike the other queries on the System Manager Reporting Page, this one has three different query links that you can access to view different data relating to student worker employment.

Click the Student Employee Look-up link.

5. Step 5

The Ee Info w/RptsTo and TA Appr query is displayed with the search icon highlighted.

The Ee Info w/RptsTo and TA Appr query is displayed. This query will show you the student's Report To information, among other things.

You can only search this data by Empl ID.

Enter the Empl ID for the student worker you want to query, or click the lookup magnifying glass to search for the needed value.

6. Step 6

The Ee Info w/RptsTo and TA Appr query is displayed with the View Results button highlighted.

Click the View Results button.

7. Step 7

The first row of the results table highlighted.

The requested information is displayed. The columns list the student's position number, Hours/Wk, and their Reports To and T&A Approver information. The results will also list all of the student worker's positions across UGA.

To return to the previous page, click to close the current tab.

8. Step 8

The System Manager Reporting page is displayed with the Show Students w/ Multiple Positions link highlighted.

Next, click the Show Students w/ Multiple Positions link.

9. Step 9

The Multi Stu Pos > 1 query is displayed with the Specific HR Dept field highlighted.

The Multi Stu Pos > 1 query is displayed. This query will produce a list of students that have multiple positions.

The prompts give you the option to search by Top HR Dept, which replicates the HR Department Tree. You can use this field to search by a higher level department to see all of the information for departments that roll up to that top level.

You can also search by specific HR department.

10. Step 10

The Multi Stu Pos > 1 query is displayed with the View Results button highlighted.

Click the View Results button.

11. Step 11

The View Positions link is highlighted.

The search results show each student worker's Empl ID and the number of positions they hold.

To view each position a student worker has, click the appropriate View Positions link.

12. Step 12

The Student Worker results table is highlighted.

The student worker's position information is displayed for each position. Data shown includes the Department ID, hours for each position, and their Reports To and T&A Approver information.

If you have access to Job Data, you can click the Empl ID link to access their job data in OneUSG Connect.

13. Step 13

The System Manager Reporting page is displayed with the Show Combined Reported/Standard Hours link highlighted.

On the main query page, click the Show Combined Reported/Standard Hours link.

14. Step 14

The Stu Mult Pos w/ Total Hrs query is displayed with the Specific HR Dept field highlighted.

The Stu Mult Pos w/ Total Hrs query is displayed. This query adds up the total combined reported hours a student has worked within the current week across multiple positions.

You can again search by Top HR Dept or Specific HR Dept.

15. Step 15

The Stu Mult Pos w/ Total Hrs query is displayed with the View Results button highlighted.

Click the View Results button.

16. Step 16

The Reported Hours this Pay Week link is highlighted.

The combined hours are displayed by employee. The data in All Hrs (Rptd plus Std Hrs) shows the total reported hours across all positions

Click the Reported Hours this Pay Week link.

17. Step 17

The student's reported time page is displayed with the results table highlighted.

The student's reported time is displayed, including Pay Run ID, number of hours ( Quantity ), and when the hours were reported ( Rpt Dt ).
