Requesting TouchNet Departmental Deposit System Access

The Financial Management System homepage provides a link to the form you need to request access to the TouchNet Departmental Deposit System in order to submit deposits.

There is only one role to be assigned, but if the employee is to have Marketplace roles, you will need to know which role and the associated store or merchant information.

In this article, you will learn how to request access for your employees to use the TouchNet Departmental Deposit System.

1. Step 1

First, log into the Financial Management System.

The Request Access tile is located on the UGA Financials homepage.

Click the Request Access tile.

Click the TouchNet Access Request link.

The Add a New Value page is displayed. Enter the MyID of the user for whom you are requesting access or use the search tools to find the employee's User ID.  

To search for an employee, click the User ID lookup magnifying glass.

Use the search features to find the correct employee.

Note : Data has been masked to protect employee information.

Select the employee to whom you want to grant access.

The User ID is added to the Add a New Value page.

Click the Add  button to add your request.

The TouchNet Access Request page is displayed with the information that you selected on the search page.

Select the CFO who will approve your request.

Click the name of the CFO for your unit.

You can modify the user's current roles in the system.

Click the Expand section icon to view the roles.

If there are any roles listed, you can remove access by turning on the Role Not Needed checkbox next to the Role Name.

Close the  Expand to view and remove any of user's current roles  section.

Click the Collapse section icon to close the section.

Select the roles to assign to the employee.

Click the Expand section  icon to open Cashiering Roles (Departmental Deposits).

Select the new Cashiering Roles you are selecting for the employee.

Click the magnifying glass next to the Role Name field.

Select the appropriate role.

Click the UGA Web Dept Deposit User link.

If you need to assign Marketplace roles, click the Expand section icon to open the Marketplace Roles section.

Click the magnifying glass next to the Role Name field to see the available roles.

Select the appropriate role(s).

If you select a marketplace role, you need to provide the related information as indicated.

The final thing to enter is the justification for the access request. This will be seen and evaluated by the approver.

You have completed the data entry and are ready to submit the request.

At the top of the page, you can see that an Access Request Number has been assigned.

The Approval Status is now "Pending Approval". This will change as it goes through the approval workflow.

At the bottom of the page you can view the approval status and workflow levels in the Approvals section. Click the hyperlinks for more information about the approvers.
