Setting Up User Preferences for BUDDEV

   Overview   

When you first log in, you will need to set up the default chartfields used in the BUDDEV application in the UGA Budget Management System, including default Finance and HR Departments.

   Instructions   

  1. Step 1: On the UGA Budget Management System HomePage, navigate to the BUDDEV application as follows: Navigate > Applications > Planning > BUDDEV Or, click on BUDDEV application in the Quick Links box.
  2. Step 2: The BUDDEV tab is displayed. Navigate to Preferences using the following navigation:Main Menu > File > Preferences. Click the Preferences... link.
  3. Step 3: The Preferences dialog box is displayed. Click the Planning button to set your preferences.
  4. Step 4: On the Application Settings tab, check the Use Application Default option in the Alias Setting section.
  5. Step 5: Click the Save button before moving to the next tab.
  6. Step 6: A pop-up message confirms that your preferences were saved. Click the OK button.
  7. Step 7: Click the Display Options tab to set any formatting you may want (e.g., Thousands Separator, Decimal Separator, Negative Color, etc.).
  8. Step 8: Click on the down arrow for each and choose which option you desire. Click the Thousands Separator list.
  9. Step 9: Click the Negative Color list.
  10. Step 10: Click the Save button before moving to the next tab.
  11. Step 11: A pop-up message confirms that your preferences were saved. Click the OK button.
  12. Step 12: Click the User Variable Options tab. This is where you will set all your variables.
  13. Step 13: You can set defaults for various chartfields on this tab.
  14. Step 14: To select your variables for BUnitFund, click the [...] icon next to the BUnitFund field.
  15. Step 15: You can select All Fund Types or BUnit Funds to default.
  16. Step 16: The BUnit Funds tree is expanded. Select the appropriate BUnit Fund.
  17. Step 17: Click the Add button.
  18. Step 18: The selected variable is displayed in the Alias section on the right. Click the grey OK button.
  19. Step 19: To select your variables for the HR Department, click the [...] icon next to the My HR Department field.
  20. Step 20: Expand All HR Depts under Department to find the appropriate HR Department.
  21. Step 21: You can scroll through the list to find the appropriate HR Department.
  22. Step 22: Click the Add button.
  23. Step 23: Click the grey OK button.
  24. Step 24: To select your variables for Financial Department, click the [...] icon next to My Financial Department field.
  25. Step 25: Expand Institutional Departments under Department to find the appropriate Financial Department.
  26. Step 26: You can scroll through the list to find the appropriate Financial Department.
  27. Step 27: Click the Add button.
  28. Step 28: The selected Financial Department is displayed in the Alias section on the right. Click the grey OK button.
  29. Step 29: To select your variables for Filter Department, click the [...] icon next to the Filter Department field.
  30. Step 30: Expand Institutional Departments under Department to find the appropriate Filter Department.
  31. Step 31: You can scroll through the list to find the appropriate Filter Department.
  32. Step 32: Click the Add button.
  33. Step 33: The selected Filter Department is displayed in the Alias section on the right. Click the grey OK button.
  34. Step 34: To select your variables for Filter Fund, click the [...] icon next to the Filter Fund field.
  35. Step 35: Expand All Fund Types under Fund to find the appropriate Filter Fund.
  36. Step 36: Click the Add button.
  37. Step 37: Click the grey OK button.
  38. Step 38: To select your variables for Filter Class, click the [...] icon next to the Filter Class field. 
  39. Step 39: Expand All Classes under Class to find the appropriate Filter Class.
  40. Step 40: Click the Add button.
  41. Step 41: Click the grey OK button.
  42. Step 42: To select your variables for Filter Program, click the [...] icon next to the Filter Program field.
  43. Step 43: Expand All Programs under Program to find the appropriate Filter Program.
  44. Step 44: Click the Add button.
  45. Step 45: Click the grey OK button.
  46. Step 46: To select your variables for Filter Chartfield1, click the [...] icon next to the Filter CF1 field.
  47. Step 47: Expand All CF1 under Chartfield1 to find the appropriate Filter Chartfield1.
  48. Step 48: Click the Add button.
  49. Step 49: Click the grey OK button.
  50. Step 50: To select your variables for Filter Location, click the [...] icon next to the Filter Location field.
  51. Step 51: Expand All Locations under Location to find the appropriate Filter Location.
  52. Step 52: Click the Add button.
  53. Step 53: Click the OK button.
  54. Step 54: To select your variables for Filter Project, click the [...] icon next to the Filter Project field.
  55. Step 55: Expand All Projects under Project to find the appropriate Filter Project.
  56. Step 56: Click the Add button.
  57. Step 57: Click the grey OK button.
  58. Step 58: To select your variables for Filter Account, click the [...] icon next to the Filter Account field.
  59. Step 59: Expand Financial Accounts under Account to find the appropriate Filter Account. You can scroll through the list to select the appropriate Filter Account.
  60. Step 60: Click the Add button.
  61. Step 61: The selected Filter Account is displayed in the Alias section on the right. Click the grey OK button.
  62. Step 62: To select your variables for Account_Benefits, click the [...] icon next to the Account_Benefits field.
  63. Step 63: Expand Financial Accounts under Account to find the appropriate Account_Benefits.
  64. Step 64: Click the Add button.
  65. Step 65: Click the grey OK button.
  66. Step 66: After selecting all the User Variables for each Dimension, click the grey Save button.
  67. Step 67: A pop-up message confirms that your preferences were saved. Click the OK button.
  68. Step 68: To close the options display, click the blue OK button.
  69. Step 69: You will return to the BUDDEV tab. Your preferences remain the same until you change the variables.

In this article, you will learn the steps to set up your preferences for using the BUDDEV application in the UGA Budget Management System.

First, log into the Budget Management System

On the UGA Budget Management System HomePage, navigate to the BUDDEV application as follows:

Navigate > Applications > Planning > BUDDEV

Or, click on BUDDEV application in the Quick Links box.

The BUDDEV tab is displayed.

Navigate to Preferences using the following navigation:

Main Menu > File > Preferences .

Click the Preferences... link.

The Preferences dialog box is displayed.

Click the Planning button to set your preferences.

On the Application Settings tab, check the Use Application Default option in the Alias Setting section.

Note: This enables the ability to see descriptions when looking for and choosing Member Selections in the application.

Click the Save button before moving to the next tab.

A pop-up message confirms that your preferences were saved.

Click the OK button.

Click the Display Options tab to set any formatting you may want (e.g., Thousands Separator, Decimal Separator, Negative Color, etc.).

Click on the down arrow for each and choose which option you desire.

For example, you can adjust how number in the thousands are displayed.

Click the Thousands Separator list.

You can display with a comma, a space, or with no separator.

Click the Save button before moving to the next tab.

Click the OK button.

Click the User Variable Options tab. This is where you will set all your variables.

You can set defaults for various chartfields on this tab.

All Dimensions, except for BUnit Fund, Account, My HR Department, My Financial Department, and Filter Department, will be set to upper Dimension level. Set these to the BUnit and Departments that you use more frequently.

To select your variables for BUnitFund, click the  [...] icon next to the BUnitFund field.

You can select All Fund Types or BUnit Funds to default.

The BUnit Funds tree is expanded. Select the appropriate BUnit Fund.

The grey OK button accepts the selected changes.

To select your variables for the HR Department, click the  [...] icon next to the My HR Department field.

Expand All HR Depts under Department to find the appropriate HR Department.
