Setting Up User Preferences for UGABUD

   Overview   

You can set your user defaults for the UGA Budget Management System, incuding your HR Department.

   Instructions   

  1. Step 1: On the UGA Budget Management System HomePage, navigate to the UGABUD application as follows: Navigate > Applications > Planning > UGABUD  
  2. Step 2: Navigate to Preferences using the following navigation: Main Menu > File > Preferences  Click the Preferences... link.
  3. Step 3Click the Planning button to set up your preferences.
  4. Step 4: To set up your default variables, click the User Variable Options tab.
  5. Step 5: To set up a default for UserID, click the [...] icon to the right of the MyUserID field.
  6. Step 6: The Member Selection dialog box is displayed. Click "All User IDs".
  7. Step 7: Expand AllDepts under All User IDs. You can scroll through the list to select the appropriate UserID.
  8. Step 8: Click the Add button.
  9. Step 9: Click the OK button.
  10. Step 10: To set up a default for the department you use most frequently, click the [...] button to the right of the MyControlLevel field.
  11. Step 11: Expand the Department tree to find the appropriate Department.
  12. Step 12: Click the Add button.
  13. Step 13: The selected Department is displayed in the Member Name section on the right. Click the grey OK button.
  14. Step 14: The positions reside with the HR Departments. Click the [...] icon to the right of the MyTopHRDept field.
  15. Step 15: Expand Position to find the appropriate HR department.
  16. Step 16: Click the Add button.
  17. Step 17: The selected HR department is displayed in the Member Name section on the right. Click the grey OK button.
  18. Step 18: All your selected variables appear in the fields. Click the grey Save button.
  19. Step 19: Click the OK button.
  20. Step 20: To close the options display, click the blue OK button.
  21. Step 21: You will return to the UGABUD tab. Your preferences remain the same until you change the variables.

In this article, you will learn the steps to set up your preferences for using the UGABUD application in the UGA Budget Management System.

First, log into the Budget Management System

On the UGA Budget Management System HomePage, navigate to the UGABUD application as follows:

Navigate > Applications > Planning > UGABUD  

Or, click on UGABUD application in the Applications box.

The UGABUD tab is displayed.

Navigate to Preferences using the following navigation:

Main Menu > File > Preferences  

Click the Preferences... link.

The Preferences dialog box is displayed.

Click the Planning button to set up your preferences.

To set up your default variables, click the User Variable Options tab.

To set up a default for UserID, click the [...] icon to the right of the MyUserID field.

The Member Selection dialog box is displayed.

Click " All User IDs ".

Expand AllDepts under All User IDs. You can scroll through the list to select the appropriate UserID.

Click the Add button.

The selected UserID is displayed in the Member Name section on the right.

The grey OK button accepts the selected UserID.

Click the OK button.

To set up a default for the department you use most frequently, click the [...] button to the right of the MyControlLevel field.

The Member Selection dialog box is displayed.

Expand the Department tree to find the appropriate Department.

Click the Add button.

The selected Department is displayed in the Member Name section on the right.

Click the grey OK button.

The positions reside with the HR Departments. Setting this field to the highest member allows users to view all relevant data within the HR department selected. Since the HR department and Finance department are not equal, users will set this to the highest level to fully include all positions within their HR department.

Click the [...] icon to the right of the MyTopHRDept field.

Expand Position to find the appropriate HR department.

Example shown here: " All HR Departments" .

Click the Add button.

The selected HR department is displayed in the Member Name section on the right.

Click the grey OK button.

All your selected variables appear in the fields.

Click the grey Save button.

A pop-up message confirms that your preferences have been saved.

Click the OK button.

To close the options display, click the blue OK button.

You will return to the UGABUD tab.

Your preferences remain the same until you change the variables.
