Approving TouchNet Departmental Deposit System Access Requests

   Overview   

Once a request for access is submitted, an email is sent to the appropriate CFO approver indicating that an item is waiting for approval. As soon as this approval is complete, workflow sends the request to be approved and set up in TouchNet.

In this article, you will learn how to approve an access request for the TouchNet Departmental Deposit System.

1. Step 1

First, log into the UGA Financial Management System.

The Worklist for system access approvals is found on the Classic pages.

You may access at anytime from this worklist or directly from the email notification that you have an access request to approve.

Click the Classic Home tile.

The Classic Homepage is displayed.

Click the Worklist link.

The items waiting for your approval are displayed in the Worklist. You will only see the items waiting for your approval.

Find the item you want to review and click the hyperlink. UGA Cash Management requests will have "UGA_TNET_ACCESS_RQST" on the first line.

The TouchNet Approval page is displayed. To see the original request, you can click on the TouchNet Access Request tab.

The top part of the page shows the Access Request Number and the Approval Status.

It also shows who submitted the request and the User ID of the person to receive the access.

Note: This information cannot be edited. Return the request to the submitter if corrections are needed.

7. Step 7

The Roles section shows the role(s) that are being added or removed for the selected individual. If a role is to be removed, check the Delete Role box.

The Requested Stores and Merchants section provides information on the marketplace roles requested for the individual. 

Review to be sure the information is appropriate.

The Justification section includes the comments from the requestor to explain why they are requesting the access.

Review to be sure the information is appropriate.

10. Step 10

Select whether to Approve or Deny All. You cannot approve or deny just a portion of the request. The decision is for the complete request.

The Approval Flow shows that this request has been approved by the first approver.

The middle box says "Skipped" because the approver is the same as the first level.

It is now waiting for the UGA Security Administrators to approve. You can click on the "Multiple Approvers" hyperlink if you want to see who is in that approver pool.
