Managing Timesheet Exceptions as a Time & Absence Approver

   Overview   

OneUSG Connect provides the functionality for Supervisors and Time & Absence Approvers to accept or correct exceptions on the employee's timesheet. Exceptions are generated when Reported Time/Payable Time have certain errors.

Exceptions must be reviewed and resolved in a timely manner to ensure employees are compensated correctly.

Examples of exceptions: Missed punch, Over 24 hours reported in one day, Long Shift, Absence and Worked Time reported for the same day, etc.

High exceptions must be resolved or else the employee will not be paid. High exceptions, occurring on any day, will prevent reported time and absence requests (for that day) from processing to payable time. When high exceptions are not resolved, the employee is underpaid for hours worked.

In this article, you will learn the steps to manage timesheet exceptions in OneUSG Connect as a time approver.

Note: Exceptions are time entries that may be in error, such as a long shift or a missed punch and are rated by severity, from Low to Medium to High. High exceptions must be resolved in order for the time to be paid. Medium/Low exceptions can either be resolved or allowed.

1. Step 1

Employee Self Service drop-down menu selected

First, log into the UGA Financial Management System.

From the Employee Self Service homepage in OneUSG Connect, click the Employee Self Service drop-down menu.

Time Approver option

Click the Time Approver option.

The Time Approver page is displayed.

Click the Team Time tile.

Note: The tile displays the number of exceptions that exist.

Manage Exceptions link

The Team Time page is displayed.

Click the Manage Exceptions link.

Note: If needed, you can use the filter tool to sort the employee timesheet exceptions you need to manage.

The exceptions reflected on the Fix tab are high exceptions that must be resolved on the timesheet for the employee to be paid

Note: High exceptions are typically Invalid Punch Order exceptions (missed punches). Once corrected, you will need to approve the time change. Exceptions are cleared after approval and the periodic Time Administration process runs.  

7. Step 7

To view the medium / low exceptions, click the Allow tab.

The Allow tab displays exceptions which are medium or low. Medium or low exceptions are managed using the "Allow" option.

From the Exceptions list, select the checkbox to the left of the employee name

9. Step 9

To allow exception(s) for the selected employee, click the Allow button.

Note: If the exception should not be allowed, you will need to resolve it directly on the timesheet.
