Running the Quarterly Amendment Review Report

   Overview   

The Quarterly Amendment Review report is designed to ensure there are no overdrafted fund codes by intermediate unit for each fund code.

This report is broken out by Revenue, Personal Expense, and NonPersonal Expense budget.

   Instructions   

  1. Step 1On the UGA Budget Management System login page, enter your UGA MyID and password, then press the Log On button.
  2. Step 2: On the UGA Budget Management System homepage, click the Explore button.
  3. Step 3: The Explore tab is displayed. In the left navigation menu, click the tree button next to the UGA Reports (Current) folder to expand it.
  4. Step 4: Click the Department subfolder.
  5. Step 5: The reports related to departments are displayed on the right side of the screen. Double-click the Quarterly Amendment Review report.
  6. Step 6: The Respond to Prompts dialog box is displayed showing the prompts you need to specify for the report (Department). To search for an appropriate Department ID, click the Member Selection icon next to the Selection field.
  7. Step 7: Click the OK button.
  8. Step 8: The Quarterly Amendment Review for the selected department is displayed.
  9. Step 9: The filters are shown at the top of the report. Click a filter button to change the value, if needed. To select the appropriate Period, click the Period: Period button.
  10. Step 10: The Preview User Point of View dialog box is displayed. Click the arrow to the left of the Period folder and then to the left of the YTD folder to expand the options.
  11. Step 11: Click the OK button.
  12. Step 12: To select your option for the Year filter, click the Year: Year button.
  13. Step 13: The Preview User Point of View dialog box is displayed. Click the arrow to the left of the All Years folder to expand the options.
  14. Step 14: Click the OK button.
  15. Step 15: To select your option for the Budget Reference filter, click the BudRef: BudRef button.
  16. Step 16: The Preview User Point of View dialog box is displayed. Click the arrow to the left of the All BudRefs folder to expand the options.
  17. Step 17: Click the OK button.
  18. Step 18: The report has been updated to match the filter options that you have selected. Press [Ctrl+P] on the keyboard if you wish to print the report
  19. Step 19: You can view detailed information about funds for the selected department. Click the arrow to the left of the fund code row for which you wish to view the details.
  20. Step 20: Another level appears beneath. You can continue to drill down as needed.
  21. Step 21: You can continue to drill down until no more options are available.
  22. Step 22: The default format of the report is HTML. If you wish to generate the report in PDF format, click the Adobe PDF icon on the toolbar.
  23. Step 23The report in PDF format is displayed.

In this article, you will learn the steps to run the Quarterly Amendment Review report in the UGA Budget Management System to monitor your department's budget activity.

1. Step 1

First, log into the Budget Management System

On the UGA Budget Management System login page, enter your UGA MyID and password, then press the Log On button.

On the UGA Budget Management System homepage, click the Explore button.

The Explore tab is displayed.

In the left navigation menu, click the tree  button next to the  UGA Reports (Current) folder to expand it.

Click the Department subfolder.

The reports related to departments are displayed on the right side of the screen.

Double-click the Quarterly Amendment Review report.

The Respond to Prompts dialog box is displayed showing the prompts you need to specify for the report (Department).

To search for an appropriate Department ID, click the Member Selection icon next to the Selection field. You can also manually enter the Department ID into the Selection field if you already know it.

Click the OK button.

The Quarterly Amendment Review for the selected department is displayed.

This report provides you with information about funds for the selected department. It shows the top level departments broken out by Revenue, Personal Services, and NonPersonal Services.

The filters are shown at the top of the report. Click a filter button to change the value, if needed.

To select the appropriate Period, click the Period: Period button.

10. Step 10

The Preview User Point of View dialog box is displayed. You can select the Period you want from the values displayed. 

Click the arrow to the left of the Period folder and then to the left of the YTD folder to expand the options.

Note: YTD-Jun is the most popular selection. It ensures that you have all activity from the beginning of the Fiscal Year through the last period of the Fiscal Year.

Click the OK button.

To select your option for the Year filter, click the Year: Year button.

The Preview User Point of View dialog box is displayed. You can select a Year.

Click the arrow to the left of the All Years folder to expand the options.

Note: In this article, you are running this report for the current fiscal year.

To select your option for the Budget Reference filter, click the BudRef: BudRef button.

The Preview User Point of View dialog box is displayed. You can select a Budget Reference.

Click the arrow to the left of the All BudRefs folder to expand the options.

Note: For FY20 transactions, you should select a Budget Reference of 2020.

Click the OK button.

The report has been updated to match the filter options that you have selected.

Note: Press  [Ctrl+P] on the keyboard if you wish to print the report. This will open the browser options for printing.

You can view detailed information about funds for the selected department.

Click the arrow to the left of the fund code row for which you wish to view the details.

Note:   [C] indicates "Control where the budget checking occurs." [T ] indicates "Transaction where the transaction occurs." [CT] indicates "Control Transaction where both the budget checking and transaction occur."

If you wish to generate the report in PDF format, click the Adobe PDF icon on the toolbar.
