Inquiring on a Journal via the Journal Inquiry Page

   Overview   

You will use the Journal Inquiry to search for one or more journals that match criteria that you enter.

You will add a new inquiry by using the Add a New Value page. You have the ability to save that inquiry and search for it on the Find an Existing Value page the next time you navigate to the Journal Inquiry page.

In this article, you will learn the steps to search and inquire on a journal entry in the UGA Financial Management System.

You will set up an inquiry that shows all the journals you have created in the 2021 fiscal year.

First log onto https://financials.onesource.uga.edu/

On the UGA Financials homepage, click the General Ledger tile.

The General Ledger Definition page is displayed. To navigate to the Reports and Analysis page, follow this navigation in the left side menu:

Reports and Analysis > Journal Inquiry

Click the Journal Inquiry link.

Click the Collapse Menu button to create a larger workspace.

Click the Add New Value tab.

This inquiry will only be visible to you. Enter the appropriate information into the Inquiry Name field.

Click the Add button.

The Journal Inquiry is opened with the previously entered title information.

The Business Unit should default GL entries you make use 18000.

Select the ACTUALS ledger. This tells the system that you want to review transactions posted to the official ledger for the university.

Click the lookup magnifying glass in the Ledger field.

The Look Up Ledger popup menu is displayed with a list of ledger options. Choose the appropriate Ledger.

Enter the fiscal year from which to pull information into the Year field.

Example shown here: enter "2021" in the Year field.

Enter the beginning of the range of periods to be viewed in the From Period field.

Note: To view only one period, enter the same value in the From Period and To Period fields.

Enter the ending period you want to review in the To Period field.

You can also use this inquiry to locate one journal (using the Journal ID), for a specific date, or with a particular journal status.

Journals that are entered online or via spreadsheet upload should be designated as from the ONL source.

Enter the appropriate information into the Source field.

To retrieve the journals that you have entered, enter your myID in the User field.

Click the Save button.

The Journals list is displayed below the criteria. You can also drillthrough to a view-only version of any journal in the list.

To drillthrough, select the appropriate ID from the Journal ID column.

The Journal Header section shows the information entered on the header of the original journal entry.

If the journal has attachments, use the View Attachments hyperlink to review the documents.

The Totals by Currency shows the totals of debits and credits entered on the journal.

The journal lines show the entries for each line of the journal.

You have completed the steps to create an inquiry and view a journal.
