Creating Milestones

   Overview   

This article will explain the process for creating the Milestones for a Sponsored Project. Milestones can be setup to create notifications to project personnel of upcoming reports and other project events. Limited functionality is available for distributed users.

In this article, you will view and create milestones within an award.

1. Step 1

First, log into the UGA Financial Management System.

Click the Classic Home tile.

To navigate to the Award Profile page, select:

Main Menu > Grants > Awards > Award Profile

The Award Profile inquiry page is displayed.

The Business Unit is required for the search criteria.

To locate the Business Unit, click the lookup magnifying glass to the right of the Business Unit field or enter the Business Unit directly.

You can enter the Award ID directly into the Award ID field or use the Lookup Magnifying Glass to the right of the field.

Click the Search button.

Select the appropriate award from the Award ID column.

The Award Profile page is displayed. From this page, you can verify information on the sponsored project including award information, funding, milestones, and other key data points.

Click the Milestones tab.

The Milestones page is displayed. This page will list Milestones which have been set up for the selected Award.

Milestones are used to notify a chosen recipient of a key event within the lifecycle of the grant such as a deliverable for an invoice.

If necessary, use the scroll bar at the bottom of the page to view additional page information.

Click the Add Row (+) icon to add a new Milestone.

To set the Milestone Type, click the lookup magnifying glass to the right of the Milestone Type field.

Departments will use the DEPT milestone type.

Click the Department Notification link.

To add a Milestone Code, click the lookup magnifying glass to the right of the Milestone Code field.

Click the Department Information link.

You can set the priority level of the milestone by clicking the drop down menu in the Milestone Priority column.

You can select the appropriate priority level from the available list.

Use the Due Date field to enter the date that the milestone is due.

To select the Milestone Status, click the lookup magnifying glass to the right of the Milestone Status field.

The available Milestone Status options are displayed. These options include Completed, In Progress, and Not Started.

You can select the appropriate Milestone Status from the list provided.

If necessary, use the scroll bar at the bottom of the page to view additional page information.

Enter the number of days prior to the due date that you would like a notification to be sent.

To save your changes, click the Save button.

To set who will receive the notification, click the Detail tab.

To set the contact for the notification, click the Contact ID link.

Click the lookup magnifying glass next to the Contact ID field.

Enter appropriate information into the Last Name field.

Click the Look Up button.

A list of names related to your search query are displayed.

From the available list, select the appropriate name.

Note: Data has been masked to protect employee information.

You can enter comments into the Comment box.

To select the method of notification, click the Transmission Code drop-down box.

Most notifications will be done through email.

Select the appropriate Transmission Code.

To save your changes, click the Save button.
