Running a Query to Locate All Assets by Department

You can use the UGA_AM_SEARCHBYDEPTID query in the UGA Financial Management System to return a list of all assets owned by a department.

In this article, you will learn the steps to run a query for Asset Management, using the example of a query to search assets by department. You must have access to query viewer/tiles before performing this process.

1. Step 1

First, log into the Financial Management System

From the UGA Financials home page, click the Query Viewer tile.

The Query Viewer page is displayed. In the begins with field, enter the query name.

Examplw shown here: " UGA_AM ".

Displayed is a list of queries that are associated with Asset Management. You can scroll through the list and choose the query that is appropriate.

Note: For more information on each query and its purpose, please visit reports.uga.edu.

4. Step 4

The query we need to search assets by departments is called UGA_AM_SEARCHBYDEPTID.

Click the HTML link in the appropriate query row to open the query in html format.

The Query page is displayed. In the DeptID field enter the department number of the asset you are locating.

Note : The full department ID ChartField does not have to be entered. You can also enter partial Department ID's by entering the first few characters followed by the % sign. For example, you could enter "10001% to find all assets under department ID's beginning with "10001".

Example shown here: " 1000% ".

6. Step 6

Click the View Results button.

The search results for the query are displayed.

Note : Data is masked to protect employee information.

To download the results to an Excel Spreadsheet, click the Excel SpreadSheet link.

8. Step 8

At the bottom of the page, a pop-up window is displayed asking if you would like to open or save the query.

Click the Open button.

9. Step 9

The Excel spreadsheet for the query you requested is displayed. From here you can use Excel to filter, sort or search for asset information as needed.
