Copying a Budget Amendment

   Overview   

You can copy an existing budget amendment to both save time and to move an in-process budget amendment to the following accounting period during the month end process.

Any budget amendments dated within the prior month not meeting the month end close deadline will be deleted. If the transaction is still needed at that point, you can copy the budget amendment to the new month following these directions.

   Instructions   

  1. Step 1: Click the General Ledger tile.
  2. Step 2: Click the Commitment Control menu item.
  3. Step 3: Click the Enter Budget Journals link.
  4. Step 4: Click the Find an Existing Value link.
  5. Step 5: Click the Search button.
  6. Step 6: Locate the budget amendment you want to copy and click the Journal ID link.
  7. Step 7: Click the Budget Lines tab.
  8. Step 8: Select Copy Journal from the dropdown menu.
  9. Step 9: Click the Process button.
  10. Step 10: Enter the date in the New Journal Date field, or click the calendar icon to select the date.
  11. Step 11: Click the appropriate date link.
  12. Step 12: Click the OK button.
  13. Step 13: Click the Yes button.
  14. Step 14: Click the Enter Budget Journals link in the left navigation menu.
  15. Step 15: Click the No button.
  16. Step 16: Click the Find an Existing Value tab.
  17. Step 17: Click the Search button.
  18. Step 18: Locate the new budget amendment in the search results.

In this article, you will learn the steps to copy an existing budget amendment.

1. Step 1

First, log into the https://financials.onesource.uga.edu/

From the UGA Financials homepage, click the General Ledger tile.

The General Ledger page is displayed. 

Click the Commitment Control menu item.

Click the Enter Budget Journals link.

The Enter Budget Journals page is displayed.

Click the Find an Existing Value link.

Enter appropriate search criteria into the displayed fields to help locate the budget amendment you want to copy. The User ID fields defaults to your User ID.

When you have finished adding your search criteria, click the Search button.

A list of budget amendments meeting your search criteria is displayed. 

Locate the budget amendment you want to copy and click the Journal ID link.

The budget amendment is displayed.

Click the Budget Lines tab.

On the Budget Lines tab, the Process dropdown menu should default to Copy Journal. If not, select Copy Journal from the dropdown menu.

Click the Process button.

To change the date of the copied budget amendment, enter the date in the New Journal Date field, or click the calendar icon to select the date.

Click the appropriate date link.

Click the OK button.

A dialog box appears asking if you want to save your changes.

If you are sure, click the Yes button.

To verify that your journal was copied, click the Enter Budget Journals link in the left navigation menu.

A dialog box appears asking if you want to save the changes again. Click the No button.

On the Enter Budget Journal page, click the Find an Existing Value tab.

Use the search criteria to locate the copied journal. Your User ID defaults into the User ID field.

Click the Search button.

Locate the new budget amendment in the search results.
