Submitting an Absence Request on Behalf of an Employee as a Supervisor

The OneUSG Connect system allows supervisors and time approvers to submit an absence request on behalf of an employee.

View the Standard Operating Procedure (SOP) for Regular Absences for additional information.

In this article, you will learn the steps to submit an absence request on behalf of an employee in OneUSG Connect as a supervisor.

1. Step 1

The Time Approver page is displayed with the Team Time tile highlighted.

From the Manager Self Service homepage in OneUSG Connect, click the Team Time tile.

2. Step 2

The Team Time page is displayed with the Request Absence link highlighted.

The Team Time page is displayed.

Click the Request Absence link.

3. Step 3

The Team Time page is displayed with the row for Glenn Hadley highlighted.

A list of your employees is displayed.

Select the appropriate employee.

For this article, select Glenn Hadley

4. Step 4

The Request Absence page is displayed with the Absence Type drop-down list highlighted.

The Request Absence page is displayed.

Note: The Absence Type field is not a required field. You can use this field to filter the options in the Absence Name list.

Click the Absence Type drop-down list.

5. Step 5

The 'Sick Leave' option is highlighted in the Absence Name drop-down list.

Select the appropriate absence type from the displayed list.

For this article, select Sick.

6. Step 6

The Absence Name drop-down list is highlighted.

Click the Absence Name drop-down list.

7. Step 7

The Sick Leave option is highlighted in the Absence Name drop-down list.

Absence Name is required. The list is filtered by the Absence Type.

Choose the appropriate absence name from the list.

For this article, click the Sick Leave option.

8. Step 8

The Start Date, End Date, and Original Start Date fields are highlighted.

Enter the appropriate information in the *Start Date, End Date and Original Start Date fields or select the Calendar icon.

Press [Enter] to continue.

9. Step 9

The Check Leave Balance button is highlighted.

To confirm the employee's available hours for the selected absence type, click the Check Leave Balance button.

10. Step 10

A pop-up window is displayed with the OK button highlighted.

A message is displayed providing the eligibility status of the requested absence. 

Click the OK button.

11. Step 11

The Request Absence page is displayed with the Forecast Details link highlighted.

To view the employee's future leave balance, click the Forecast Details link.

12. Step 12

The Eligibility Details page is displayed with the Close button highlighted.

The employee's eligibility for the absence request is displayed.

After reviewing the eligible leave balance, click the Close button.

13. Step 13

The Request Absence page is displayed with the Workflow section label and the ‘Employee’ option highlighted in the Request As drop-down list.

Note: You can use the Add Attachment function to include any related documents. 

You will need to select the appropriate requested by option under Workflow. 

Click the  Request As  list.

14. Step 14

The Request Absence page is displayed with the 'Employee' option highlighted in the Request As drop-down list.

Note: As the employee's supervisor you should submit any requests on their behalf using the Employee option.

Click the  Employee option.

15. Step 15

The Submit button is highlighted.

When you are ready to submit the absence request, click the  Submit  button.

16. Step 16

The confirmation pop-up window is displayed with the Yes button highlighted.

A confirmation pop-up is displayed.

Click the  Yes  button.

17. Step 17

The Request Absence page is displayed with the message ‘Approved Successfully’ highlighted.

The absence request has been submitted and approved successfully. By submitting as the employee, the system auto-approves the request.

Press [Enter] to continue

18. Step 18

The Request Absence page is displayed.
