Approving or Denying an Express Direct Retro Request

This tutorial walks you through how to locate an EDR that requires approval, review it, and make an approval decision

Approvers should review the request for the following:

  • Are the payroll expenses being moved onto/off of the appropriate combo code(s)?
  • Is the dollar amount of payroll expenses being moved appropriate?
  • If any part of the transaction involves a grant/project combo code, does the transaction fall under the University's cost transfer policy and if so, is the cost transfer justification form completed and attached to the transaction?  Is a signature required on the cost transfer justification form?

Note: A Deny action will "kill" the transaction; no edits can be made. If the transaction is still needed, a new one will need to be initiated.

Express Direct Retros Quick Start

In this article, you will learn the steps to approve or deny an Express Direct Retro distribution in OneUSG Connect.

1. Step 1

First, log into OneUSG Connect.

The notifications actions list is displayed. From the displayed list, click to select the Requested EDR transaction that you want to approve.

The Review/Approve EDR page is displayed. Review the information on the page for accuracy and appropriateness.

The top section contains details about the position and request, including the position number, HR department, transaction ID, accounting date, and the retro option (earnings or fringe).

In the Current Distribution section, the current funding source for position earnings and fringe is displayed on the Employee Information tab.

Click on the Combo Code Details tab or the right scroll button to view the employee name and position description.

In the New Distribution section, the requested updates are displayed.

You can click on the Chartfield Details button to see the individual chartfields making up the combo code.

Note : Although you can view the ChartField details, you cannot make any changes to the information.

Review the request for the following:

• Are the payroll expenses being moved on to/off of the appropriate combo code(s)?

• Is the dollar amount of payroll expenses being moved appropriate?

7. Step 7

Scroll down to review the Cost Transfer Justification and any attachments.

Consider whether any part of the transaction involves a grant/project combo code that falls under the University’s cost transfer policy. If so, the cost transfer justification form should be completed and attached.

8. Step 8

After reviewing the transaction information, click the appropriate button to Approve or Deny.

Note: For transactions that are denied, it is required that you enter an explanation of why the transaction was denied into the Comments box .

9. Step 9

The EDR - Retro Distribution workflow section updates to indicate your approval decision.

When approved, the transaction will move to the next approver level for additional action.
