Applying a My Wallet Transaction to an Expense Report

If you previously saved some expense entries in your Wallet, you can save time and avoid duplicating work by importing those expenses from My Wallet during the creation of the expense report.

In this article, you will learn the steps to import expenses from My Wallet during the creation of an expense report in the UGA Financial Management System.

1. Step 1

The Employee Self Service page is displayed with the Expenses tile highlighted.

First, log into the Financial Management System.

On the Employee Self-Service Homepage, click the Expenses tile.

2. Step 2

The Expenses page is displayed with the Create Expense Report tile highlighted.

The Expenses page is displayed.

Click the Create Expense Report tile.

3. Step 3

The Expense Report page is displayed with the Business Purpose drop-down menu highlighted.

Users can choose from In-State Travel, Out-of-State Travel, Group Travel Paid by Employee or Non-Travel Reimbursement.

Click the *Business Purpose drop-down menu.

4. Step 4

The Expense Report page is displayed with the In-State Travel option highlighted

Select the appropriate option from the list.

5. Step 5

The Description field is highlighted.

Enter the appropriate information in the Description field.

6. Step 6

The Reference field is highlighted.

The Reference field is optional and provides additional information on the expense purpose.

Enter the appropriate information into the Reference field.

7. Step 7

The Travel To field is highlighted.

Enter the appropriate location information starting with state or country into the Travel To field.

8. Step 8

The Expense Report Action drop-down menu is highlighted.

To create the appropriate expense details, click the Expense Report Action drop-down menu.

9. Step 9

The Add from My Wallet option is highlighted.

To use saved transaction lines, click the Add from My Wallet option.

10. Step 10

The My Wallet pop-up window is displayed with the D-Car Rental expense item highlighted.

The My Wallet pop-up window is displayed. From this window, choose the expenses to be imported into the report.

11. Step 11

Click the Import button.

12. Step 12

The Expense Report page is displayed with the Update Details button highlighted.

Click the Update Details button.

13. Step 13

The Expense Entry page is displayed with the D-Car Rental expense details section highlighted.

The Expense Entry page is displayed. Use the details shown to review the expense line for the correct information prior to submission. 

14. Step 14

The Expense Entry page is displayed with the Review and Submit button highlighted.

Click the Review and Submit button.

15. Step 15

The Travel Authorization button is highlighted.

All travel-related expenses need to be associated with an approved Travel Authorization.

Click the Travel Authorization button.

16. Step 16

The Travel Authorization pop-up window is displayed with the Associate button highlighted.

The Travel Authorization pop-up window is displayed along with authorizations from the past 6 months.

Locate the appropriate Authorization ID, and click the Associate button.

17. Step 17

The Expense Summary page is displayed with the Submit button highlighted.

Click the Submit button.

18. Step 18

The Submission Confirmation pop-up window is displayed with the Submit button highlighted.

The Submission Confirmation dialog box is displayed.

Note: By submitting an Expense Report, you are stating the expense is related to UGA business and accepting responsibility for the information.

Review the submission confirmation and click the Submit button.

19. Step 19

The My Expense Reports page is displayed with the green confirmation banner highlighted.

If submitted successfully, a green banner will pop up informing you that your expense report has been submitted.
