Creating Customer Statements

   Overview   

In this article, you will use the Process Scheduler to run the Create Statement process. Using Process Scheduler is a simple process. The Process Scheduler's primary role is to support the UGA Financial Management Systems application environment. It is used to run processes, including programs, batch programs, reports, and so on.  

Process Scheduler enables you to run reports easily and efficiently, without interruption to your workstation. A report can be running while you are reconciling financial data in a spreadsheet or entering transactions into the UGA Financial Management Systems database.

Basic Process Scheduler terms include:

  • Process Request: A single "run request" such as an SQR or PDF report.  
  • Run Control ID: A unique ID, associating each operator with his or her own run control table entries. Once defined, the same run control ID can be used to run a subsequent Create Statements process. When creating a run control ID, it is recommended that the format contain the abbreviation for the module name, and the name of the report: AR_CREATE_STATEMENT
  • Process Instance: A unique number that identifies each process request. This value is automatically incremented and assigned to each requested process when the process is submitted to run.

In this article, you will run the Create Statement process for the UGA Athletic Association.

Note: This article was recorded using sample values. Actual values may differ in the production version of the UGA Financial Management System.

1. Step 1

The Employee Self Service page is displayed with the Classic Home tile highlighted.

Click the Classic Home tile.

2. Step 2

The Main Menu navigation menu is displayed with the Create Customer Statements menu option highlighted.

To navigate to the Create Customer Statements page, select:

Main Menu > Accounts Receivable > Customer Interactions > Statements > Create Customer Statements  

3. Step 3

The Create Customer Segments page is displayed with the Add a New Value tab highlighted.

The Create Customer Statements search page is displayed.

4. Step 4

The Create Customer Segments page is displayed with the Run Control ID field highlighted.

The Create Customer Statements page is displayed. You will use this page to enter the Run Control ID for creating Customer Statements.

A Run Control ID is an identifier that identifies the process you are running. The Run Control ID defines parameters that are used when a process is run. This ensures when a process runs in the background, the system does not prompt you for additional values.

Note: You can use the same Run Control ID for creating future Customer statements, so you will want to enter an ID that is easily recognizable by you. One good option is to start with the initials of the module you are working in, followed by the name of the process. 

Enter the appropriate information into the Run Control ID field.

5. Step 5

The Add button is highlighted.

Click the Add button.

6. Step 6

The Statements Parameters page is displayed with the Report Request Parameters section highlighted.

The Statements Parameters page is displayed. This page is used to enter the Report Request Parameters. These parameters will be used to define the processing rules and data to be included when the process is run.  

Note: The Run Control ID you created is shown at the top of the page.

7. Step 7

The Statements Parameters page is displayed with the As of Date field highlighted.

In the Report Request Parameters section, the As of Date field will default to today's date. You can change the date or leave the date as is.

The Unit field is highlighted.

Example shown here: In the Unit field, enter the Unit ID "66001".

Enter the appropriate Unit ID in the Unit field.

The SetID field is highlighted.

Enter the appropriate information into the SetID field.

Example shown here: Enter "UGA01".

10. Step 10

The Customer lookup magnifying glass is highlighted.

To locate the customer, click the lookup magnifying glass to the right of the Customer field.

11. Step 11

The Look Up Customer pop-up window is displayed with the UGA Athletic Association customer row highlighted.

Click the appropriate Customer ID link.

12. Step 12

The Statement Group field is highlighted.

The Statement Group field defaults to All Statement Groups. Leave this field as displayed.

13. Step 13

The Open Item checkbox is highlighted.

Click the Open Item checkbox.

14. Step 14

The Balance Forward checkbox is highlighted.

Uncheck the Balance Forward option.

The Save button highlighted.

Click the Save button.

The Run button highlighted.

Click the Run button.

The Process Scheduler Request pop-up window is displayed and highlighted.

The Process Scheduler page is displayed. This page is used to enter or update parameters, such as process output format.

18. Step 18

The Process Scheduler Request pop-up window is displayed with the Server Name field highlighted.

The Server Name field will default to the appropriate Server Name.

The PS/AR Statements checkbox is highlighted.

Click the checkbox next to the PS/AR Statements option.

Note: The Process Instance number appears.

This number helps you identify the process you have run when you check the run status.

The Process List page is displayed. This page is used to view the status of submitted process requests.

24. Step 24

The Process List page is displayed with the Processing value highlighted.

The current status of the process is Processing. The process is finished when the status is Success.

The Go back to Create Customer Statements link is highlighted.

Click the Go back to Create Customer Statements link.

The Report Manager link is highlighted.

Click the Report Manager link.

The List page is displayed with the ARX32A01 - ARX32A01.pdf report link highlighted.

The List page is displayed. This page is used to select which reports you want to create.

The Reports section of the page is updated with the Reports you processed in the previous steps.

To generate the Statement, click the .pdf Report link.

In the File List section, click the appropriate .pdf link.

Once you have reviewed the statement, you can close your browser to return to the Create Customer Statement pages.
