Cloning Routings for Spend or Journal Approvers

   Overview   

You can copy the security roles and approval routings of an existing Spend or Journal Approver to another user. This will eliminate the need for hundreds or even thousands of manual entries when new approvers are added.

You will need to know the MyID of the employee you are cloning the security roles from, as well as the MyID of the employee, you are assigning the roles and routings.

In this article, you will learn how to copy the roles and department routings from one user to another.

1. Step 1

The page to clone roles or routings is found on the classic menu.

Click the Classic Home tile.

Use the following navigation to the Route Control Maintenance component.

Main Menu > UGA > UGA Access Request > Route Control Maintenance

Click the Route Control Maintenance menu.

Search for the user that you want to have the new roles.

Enter the user's ID or click the Search button to search for the correct ID.

Search by the user’s MyID (if known), or select “Description” in the search dropdown to search by name.

Note: Data has been distorted to protect employee information.

Click the link for the user to receive the roles.

The UGA Routing Maintenance page is displayed for the selected User ID. Scroll down to update the roles and routings for the User ID.

Scroll to the bottom half of the page, to select the ID of the person from whom you want to copy the roles.

Click the look-up magnifying glass next to the ID to Copy From field.

A list of User IDs is displayed. You may need to refine your search.

Use the Search By field to enter all or part of the User ID if you need to refine the search. You can also search by name.

Click the Search by list.

The Description field contains the name.

Enter the name (or part) in the begins with field.

After you type all or part of the person's name, click the Look Up button.

Click the name of the person whose information you want to copy.

From the Route Control Maintenance page, save the values.

Click the Save button.

Note: This is an important step!

When the page is returned, the User ID of the person with the roles to copy is selected.

You must run a process to add these roles to the selected person.

The Route Control Maint Process run control page is displayed.

Select from a run control that already exists or create a new Run Control ID for this process.

Enter the appropriate information into the Run Control ID field.

Run the process.

The Process Scheduler Request page is displayed.

Click the OK button to run the process.

You can monitor the status of the process using the Process Monitor.

When the Run Status is Success, return to the original page to see the results.

Enter the ID or name of the person for whom you are creating the request or click Search to find the ID or name.

The roles have been copied to the user.

You can also use Query Viewer to check the results of the copy roles process.

 Open the Main Menu.

Use the following navigation to the Query Viewer.

Reporting Tools > Query > Query Viewer

Click the Query Viewer link.

The name of the query is UGA_USERS_ROLES_ROUTINGS. Type all or part of the name into the Query Name field.
