Deleting a Budget Journal

   Overview   

In the UGA Financial Management System, you can delete a budget journal you initiated if it has not been posted. In this article, you will learn how to delete a budget journal in Classic View.

1. Step 1

The Employee Self Service page is displayed with the Classic Home tile highlighted.

First, log into the UGA Financial Management System: https://financials.onesource.uga.edu/

On the Employee Self Service page, click the Classic Home tile.

2. Step 2

The Main Menu is displayed with the Enter Budget Journals option highlighted.

To delete a budget journal, use the following navigation:

Main Menu > Commitment Control > Budget Journals > Enter Budget Journals.

Click the Enter Budget Journals link.

3. Step 3

The Enter Budget Journals page is displayed with the Find an Existing Value button highlighted.

The Enter Budget Journals page is displayed.

Click the Find an Existing Value button.

4. Step 4

The Enter Budget Journals page is displayed with the Search Criteria section highlighted.

You can search for a budget journal using one or more of the displayed search criteria, including Journal ID and User ID.

Note: 18000 is the Business Unit assigned to the University of Georgia. There are multiple means for searching for the Journal, but all require that the Business Unit is specified.

5. Step 5

The Enter Budget Journals page is displayed with the begins with option highlighted in the Journal ID drop-down list.

Example shown here: you will search for the budget journal using the Journal ID.

Click the Journal ID drop-down list.

6. Step 6

The contains option is highlighted in the Journal Date drop-down list.

Click the contains list item.

Note: When the “contains” operator is selected, you can enter only a portion of the Journal ID. You may find it convenient to specify only the last few characters of the Journal ID.

7. Step 7

The Journal ID field is highlighted.

Enter the appropriate information into the Journal ID field.

Note: You can use any combination of the criteria to locate the journal. Specifying your User ID may also be a helpful search criteria, if you are uncertain of the Journal ID.

8. Step 8

The Search button is highlighted.

After entering the appropriate information into the fields, click the Search button.

9. Step 9

The Enter Budget Journals page is displayed with the first row in the Search Results section highlighted.

The Search Results are displayed in rows at the bottom of the screen.

Select the appropriate Journal ID to proceed to deleting the journal.  

Example shown here: click the 1000244906 Journal ID.

NOTE: Transactions entered through the Budget Transfer page can only be accessed through the Budget Transfer page, and those entered on the Budget Journal page can only be access through the Budget Journal page. If the transaction you need is not shown in the search results, it may have been entered as a Budget Transfer that will have to be accessed through the Budget Transfer page. 10. Step 10

The Budget Header page is displayed with the Budget Lines tab is highlighted.

Information about the budget journal is displayed.

Click the Budget Lines tab.

11. Step 11

The Budget Lines page is displayed with the Process drop-down list highlighted.

Click the Process drop-down list.

12. Step 12

The Budget Lines page is displayed with the Edit Chartfields option highlighted in the Process drop-down list.

To remove the Budget Journal from the workflow, click the Edit Chartfields option.

13. Step 13

The Process button is highlighted.

Click the Process button.

14. Step 14

The Process drop-down list highlighted.

Click the Process dropdown menu.

15. Step 15

 The Delete Journal option is highlighted in the Process drop-down list.

Click the Delete Journal option. 

16. Step 16

The Process button is highlighted.

Click the Process button. 

17. Step 17

A pop-up confirmation window is displayed with the Yes button highlighted.

A confirmation message box opens that asks if you are sure you want to delete the selected journal.

Click the Yes button to delete.
