Create a Recurring Zoom Meeting

After recordings are processed, transcripts will be generated automatically. Use these instructions to create a Zoom meeting that repeats automatically on a regular schedule (weekly classes, committee meetings, office hours, etc.). Zoom uses the same Meeting ID and join link for all occurrences in the series.

1.    Open the Zoom desktop application or sign in to the Zoom web portal.
2.    Sign in using your Zoom account.
2. Schedule a New Meeting

3.    Add an optional meeting description.
4.    Set the Start Date, Time, and Duration.
3. Make the Meeting Recurring
1.    Check the box labeled Recurring Meeting.
2.    Choose a recurrence pattern:
o    Daily

4. Configure the Recurrence Pattern
Depending on the option you select:
Weekly Example
•    Select the day(s) of the week.
•    Example: Every Monday and Wednesday.
Monthly Example
•    Select the day of the month or the week of the month.
End Options
•    Specify an end date, or
•    Set the number of occurrences, or
•    Choose no end date if appropriate.
5. Configure Meeting Settings

Recommended settings:

  • ✅ Passcode Enabled
  • ✅ Waiting Room (optional)

  • ✅ Allow Participants to Join Before Host (if appropriate)

Adjust these settings based on your meeting needs.

  2. Zoom will create the recurring meeting and generate the join information.

7. Share the Invitation

  1. Open the meeting details.
  2. Select Copy Invitation.
  3. Send the invitation through Outlook, eLC, email, Teams, or another communication platform.

8. Manage Future Occurrences

To change or cancel the series:

  1. Go to Meetings in Zoom.
  2. Select the recurring meeting.
  3. Choose Edit.
  4. Update meeting details and save.

Best Practices for UGA Faculty

  • Use recurring meetings for classes, office hours, and regular committee meetings.
  • Keep the same recurring link throughout the semester to avoid confusion.
  • Enable cloud recording only if recordings are required.
  • Review AI Companion, recording, and transcription settings before the first meeting.
  • Consider assigning an alternative host or co-host for backup coverage.

How to Assign an Alternative Host or Co-Host in Zoom

Option 1: Assign an Alternative Host (Before the Meeting)

Use an Alternative Host when you want someone else to be able to start and manage the meeting if you are unavailable. Both users must typically be licensed Zoom users on the same account.

Steps

  1. Sign in to the Zoom web portal.
  2. Click Schedule a Meeting or edit an existing meeting.
  3. Enter your meeting details.
  4. Scroll to Options and select Show if necessary.
  5. Locate Alternative Hosts.
  6. Enter the UGA email address of the person you want to assign.
  7. Click Save.

The alternative host will receive an email notification and can start the meeting on your behalf.

Best Uses

  • Classes
  • Committee meetings
  • Events
  • Situations where a TA, colleague, or IIT staff member may need to start the session

Option 2: Assign a Co-Host (During the Meeting)

A Co-Host can help manage participants, breakout rooms, chat, waiting rooms, and recordings, but cannot start the meeting without the host. Co-hosts must be assigned after the meeting begins.

Steps

  1. Start your Zoom meeting.
  2. Click Participants in the meeting toolbar.
  3. Find the participant you want to promote.
  4. Hover over their name.
  5. Click More.
  6. Select Make Co-Host.
  7. Click Yes to confirm.

The participant will immediately receive co-host privileges.
