The AI License Purchasing Program provides a streamlined, centralized way for UGA units to purchase premium generative AI tools for their units.  

Key Features

There are four premium AI services available for purchase through this program:  

The program provides a consistent way to acquire these tools under the university’s data protection and privacy agreements, offering enhanced safeguards not available in individual or consumer versions.  

The program removes the need for departmental Computer Equipment, Software and Services (CESS) requests, purchase requests in UGAMart, P-card transactions, and reimbursements, reducing administrative burden and improving efficiency.  

Note: All students, faculty, and staff have access to the current commercial data protection versions of Copilot (accessed through UGA Microsoft 365 accounts), as well as Gemini and NotebookLM (accessed through UGA Google Workspace accounts) without purchasing a premium license. 

Pricing

*Pricing is per MyID account, billed annually. Licenses can be purchased for individual or departmental MyID accounts. 

Purchasing Information 

Each unit’s business office can submit an estimated number of licenses in TeamDynamix by following deadlines each year. 

  • May 1, to support summer onboarding 
  • July 1, to support fall onboarding 
  • December 1, to support spring onboarding 

Please submit the following to EITS for purchasing: 

  • First name 
  • Last name 
  • MyID 
  • Office or Academic Department 
  • Chart string for billing 
  • A consolidated estimate of licenses per product at the school, college, or unit level.

Once onboarded, units will be asked to validate and renew their license counts in December of each year. Units may decrease their licenses at the time of renewal. 

Units should inform EITS in a timely manner of any changes to the client’s list of users. New users can be added during the three onboarding dates and reductions may only be submitted during annual renewal.
