When can we purchase licenses via the AI License Purchasing Program?
Each business office can submit a request for an estimated number of licenses via TeamDynamix at designated points throughout the year. Details of the purchase process and windows of availability can be found in our AI License Purchasing Program Overview.
Does UGA offer access to AI licenses that maintain data privacy? Or must individuals purchase a license through the AI License Purchasing Program to receive protection?
Gemini with Customer Data Protection, NotebookLM with Data Protection, and Microsoft Copilot with Commercial Data Protection are available to all faculty, staff, and students.
Commercial Data Protection is offered through the Claude Enterprise for Education and ChatGPT Edu tiers of access, available through the AI License Purchasing Program.
Data may be used to train AI models when using other tiers of AI platforms. Please see our comparisons for ChatGPT, Claude, Gemini, and Copilot for more information on what each plan offers.
Will users still have access to Copilot and Gemini without purchasing a license offered through this program?
Yes. All students, faculty, and staff will retain access to Microsoft 365 Copilot with Commercial Data Protection (accessed through UGA Microsoft 365 accounts), as well as Gemini and NotebookLM with Customer Data Protection (accessed through UGA Google Workspace accounts) without the need to purchase an additional license.
Can students gain premium access to ChatGPT Edu, Claude for Education, Gemini AI Pro, or M365 Copilot?
Premium access to AI platforms will be made available at designated points throughout the year. There will be campus-wide communications announcing the availability of access. Students that have an interest in access to these tools are invited to join our waitlist.
Will we need to move existing paid licenses to the new program once our current license expires?
Users will not be required to use UGA-supported AI Tools. For those requesting reimbursement, it may not be possible to receive CESS or reimbursement approval for renewals of individual licenses because they lack the data protection agreements provided by educational licenses in the new campus program.
Are other purchasing options for independently purchased licenses now prohibited?
Other purchasing options are not prohibited, but it may not be possible to receive CESS or reimbursement for independently purchased generative AI licenses. Educational licenses generally have better features and data protections.
Can the licenses be applied to shared Departmental MyID accounts?
Yes, licenses can be applied to departmental MyID accounts. The AI Tools Team encourage units that take this approach to avoid having multiple users accessing the Departmental MyID based account for any one GenAI service simultaneously. However, shared use of a departmental MyID account for purchased GenAI licenses under a single user at any given time is acceptable.
How do education versions compare to free versions?
Education versions offer higher limits, advanced features, and data protection compared to free versions.

Does the AI License Purchasing Program cover API credits?
UGA’s OpenAI contract does not allow us to centrally provide API credits as part of this license purchase program. However, it is possible to set up a direct contract through UGA Procurement. EITS can coordinate discussion with the vendor if units are interested in this option.
Is Claude Code access available under the Claude Enterprise for Education license?
Claude Code is not included in the Claude Enterprise for Education License. Cost recovery for this feature is currently unavailable. There will be campus-wide communications should the university begin to offer Claude Code.

I'm having issues accessing Gemini or NotebookLM using my UGA provided credentials. What am I doing wrong?
You may be attempting to log in using an e-mail alias (Example: elvis.presley@uga.edu) which may not be used to access Gemini or NotebookLM.
Please try again by signing in using the “Continue with Google” option and enter your UGA email address starting with your eight character MyID and ending with @uga.edu (Example: epresley@uga.edu). From there you should be directed to UGA’s standard SSO login.
Is SSO integration available for AI platforms to interface with campus systems?
Currently integrations between AI tools and campus systems are not available, citing potential security risks. There will be communications with on campus groups should these concerns be remedied and the integration made available.
