Account Deactivation Timeline by Role

Students

Approximately one year after leaving UGA, you’ll receive an email notifying you that your MyID and UGAMail will be disabled.

No action is required to initiate this process—EITS regularly disables expired accounts to protect campus systems.

Once disabled:

  • You will lose access to UGAMail, campus Wi-Fi, and other MyID-based services.
  • Email forwarding from UGAMail will no longer work.

Before you leave UGA, consider taking these steps:

  • Set up a non-UGA email address for job, graduate, or professional school applications.
  • Migrate important emails and contacts from UGAMail to another account. Instructions can be found here.
  • Update your contact info on important accounts to use your new email.
  • Save your digital diploma, which will be sent to your UGAMail 8–10 weeks after graduation.

Post-graduation resources:

Faculty and Staff

Your MyID will be disabled once your employment at UGA ends. UGAMail and associated services will be deleted.

  • Departments may request immediate termination of MyID accounts.
  • These requests are handled individually and require verification.

Retired Faculty and Staff

UGA retirees may retain their MyID and UGAMail accounts, but with some limitations:

  • You must log in at least once a year at ugamail.uga.edu to keep the account active.
  • Inactive accounts (no login for more than 12 months) will be deactivated after prior notice.
  • Office 365 access ends upon retirement.
  • Mailbox size reduced from 100 GB to 25 GB. Keep usage below this limit to avoid issues.
  • Duo Multi-Factor Authentication is required to log in. To enhance security, retirees will now be required to use Duo Multi-Factor Authentication to log in to UGAMail and Microsoft 365 products. This policy, which went into effect on March 7, 2025, ensures that retirees are provided with the same protection as students, faculty, and staff to help keep all UGA accounts secure.

Affiliates and Other MyID Holders

Affiliate MyIDs are disabled once all qualifying UGA affiliations expire.
