Accessing the Job Position Monthly Snapshot (People Cube)

   Overview   

The Job Position Monthly Snapshot (also known as the People Cube) can be accessed in the Data Warehouse by UGA employees with either the System Manager or Job Data View roles in OneUSG Connect.

You must be connected to the VPN using 02 Restricted access to view the information.

In this article, you will learn the steps to download and view the Job Position Monthly Snapshot (People Cube) from the Data Warehouse.

Note: Start by connecting to your VPN 02 Restricted. Then, open a browser of your choice.

1. Step 1

Enter " oir.uga.edu " into your browser's search bar to navigate to UGA's available institutional reports page.

The UGA Office of Institutional Research page is displayed.

Click the Operational Reports section.

The Central Authentication Service (CAS) page is displayed.

After entering your credentials, click the LOGIN button.

The Operational Reports page is displayed. The reports associated with the Financials tab are shown as the default.

Click the HCM/Personnel tab to access the Job Position Monthly Snapshot (People Cube).

The reports associated with HCM/Personnel are displayed.

Click to open the Job Position Monthly Snapshot / "People Cube" section.

Click the Job Position Monthly Snapshot ("People Cube") link.

A popup window displays allowing you to open the Job Position Monthly Snapchat file with Excel or save it to your computer.

To open the file with Excel, click the OK button.

The Job Position Monthly Snapchat Excel file opens in a protected view.

Click the Enable Editing button to edit the file.

A Security Warning displays informing you that external data connections have been disabled.

Click the Enable Content button.

You can see two tabs at the bottom of the page:

1. Notes : On the Notes tab, you can view information that helps you understand the data in the People Cube, including its functionalities and limitations. The Notes page contains important information that should be reviewed before continuing.

2. Template : The Template view defaults to the People Cube. You can set up your table to view data for your department or unit.

Click the Notes tab.

The People Cube shows static data as of the last day of the month for previous months. Only those who have an active HR status on the last day of the month show up in the People Cube.

Note: If a person started and quit in the middle of the same month, the person will never show up in the data. For example, if a person started on August 5th and left on August 20th, this person will not show up in the People Cube.

For the current month, the snapshot changes every day to include updated data and the data is up-to-date through two days prior. For example, if you select September 20, 2019, the data will be up-to-date through September 18, 2019.

The Position Count parameter is the only measure that is not a calculated member. Position Count must be included in the Pivot Table to use the Drillthrough functionality.

Finish reviewing the information, then click the Template tab at the bottom of the page to work with the data.

On the Template page, the People Cube is displayed with default filters set to the previous month for the calendar date, H1000351 - EITS-VP Office for the HR Department, and Seated for the Vacant Position Flag.

The displayed columns include Position Count and Employee Count.

Note: The Position Count is not always the same as the Employee Count . The Position Count shows the positions for which funding is available. The Employee Count shows the current seated positions.

On the Template page, click any light blue cell to activate the PivotTable Fields.

The PivotTable Fields section appears on the right side of the page.

You can build up your own table by dragging the desired fields into the four quadrants (FILTERS, COLUMNS, ROWS, and VALUES).
