Viewing Travel Authorizations Via Classic Home

In this article, you will learn the steps to search for and view travel authorizations using the Travel Authorization functions under the Classic pages.

   Overview   

The UGA Financial Management System provides the functionality to go back and view all travel authorizations.  This may be helpful if you are an approver and you want to view TAs you have approved.  It may also be helpful for business managers and others who want to view specific TAs for which they were not the initiator or an approver.

These pages can be accessed as instructed in Classic mode or through the Business Management WorkCenter in the Links pagelet.

In this article, you will learn the steps to view travel authorizations.

Note: You can also access the View travel authorization link from the Business Management Workcenter.

1. Step 1

First, log into the UGA Financial Management System.

On the Employee Self Service homepage, click the Classic Home tile.

To navigate to the View Travel Authorization page, select:

Main Menu > Travel and Expense > Travel Authorization > View

The Travel Authorization search page is displayed. You can do a basic search using authorization id/name, or you can use the drop down menu to select a search for employee id/name, creation date, or status of the travel authorization.

Enter appropriate information into the search field.  If you want to return all TAs, you can leave the field blank. 

Click the Search button to display all possible results.

The results are displayed. If needed, click the  Advanced Search  link to refine your search results.

Note: Data has been masked to protect employee information .

You can refine your search using any of the information you might have for the displayed search criteria.

To further refine your search, select from the appropriate option from the Advanced Search menu.

Select the Appropriate option.

Click the Search button.

The results according to your search parameters are displayed. You can click on any of the hyperlinked fields to view details of the travel authorization.

Click the appropriate link.

11. Step 11

The Travel Authorization page is displayed. You can view the details of the travel authorization including Projected Expenses and Approval History.

Click the Notes link to view notes associated with the authorization.

12. Step 12

The Travel Authorization Notes window is displayed. You can add new notes here, as well as view prior approvers' notes associated with this authorization.

Once you are finished reviewing notes, click the OK button.

You can click the Notify button to provide any employee with information or updates on the travel authorization.

Click the Travel Authorization Details link to view additional information about the authorization.

This page provides more detailed information on the Projected Expenses, including the Accounting Details for each line.

From here, you can return to the search page or close the window.
