Running the Exp Budget Check - Not Budget Checked Query

In this article, you will learn how to run the UGA_TE_ER_BUDGET_NOT_CHKD query to find the expense reports from your department that have not been checked for budget.

Use the UGA_TE_ER_BUDGET_NOT_CHECKED to review the expense reports in your department or unit that have not been budget checked.

You can also access this query using Query Viewer, accessed from the tile on the UGA Financials homepage.

In this article, you will learn how to run the UGA_TE_ER_BUDGET_NOT_CHKD query to find the expense reports from your department that have not been checked for budget.

1. Step 1

First, log into the Financial Management System.

Click the Classic Home tile.

To navigate to the Business Management Workcenter , select:

Main Menu > UGA > Business Management Workcenter

Click the Reports/Queries tab.

In the Expense Reports section, click the  Budget Check - Not Budget Chk'd link.

The parameters for the UGA_TE_ER_BUDGET_NOT_CHKD query are displayed.

This search uses Department ID.  You can search using an entire ID number, or you can search for departments using a partial ID number by inserting a % sign as a wildcard.  For example, 17% would return all departments starting with 17.

Leave only the % sign in the field if you want to view all departments.

Click the View Results button to run the query.

The results of the query are displayed and list the expense reports that are not yet budget checked.

Columns on the report show the Name of the employee, the Expense Report ID and description, the status of the report and the budget check. It also shows when the report was created, when it was submitted, and when it was resubmitted, if applicable.

Note : Data has been distorted to protect employee information.

Hyperlinks in the query results can link to original documents or pages in view only mode to give more information.

Click the Report ID of the expense report you want to view.

A new tab opens in the browser with a view-only summary of the selected Travel Authorization document. You can see the travel and estimate expense details at the top of the page.

The Approval History shows the status of the approval process. As each step is completed, it is displayed in color.

To see the details that make up the expense report, click the Expense Details link.

The lines of the expense report are displayed.

Click the Expand All link to expand each line to review chartstring information.

Click the Expand arrow to open the Accounting Details to review the chartstring for any line on the report.

The amounts and chartstring are displayed. Use the scrollbar to review the entire chartstring

You can also click on the attachment icon and view any attachments submitted by the initiator.

Click the Collapse All link to close all lines.

When you have finished reviewing the information, click the Summary link on the right of the page to return to the summary view.

Click the Close Tab button when you have completed your review.
