Personalizing ChartFields Display in GL Journals

First, log into the UGA Financial Management System.

An example Journal is displayed.

Within the Lines section, click the Grid Action Menu button.

The Grid Action Menu is displayed.

Click the Personalize link.

The Grid Customization window is displayed. From this page, you can change the order that the ChartField values are displayed.

Click the Project list item.

To select more than one value, press the [Ctrl] key and click the appropriate values.

With the appropriate values selected, click the Move Up button.

The selected values are moved up one slot. You can utilize the Move Up and Move Down buttons to move the values to their desired location.

To select an entire list of items, press and hold the [Ctrl] key, then click and drag the mouse over the appropriate values.

To view the selected values without having to scroll, click the Frozen option.

The selected values are now frozen.

To hide a ChartField value from view, click the appropriate value.

Note: You should not hide Account, Bud Ref, Fund, Program, Dept, Class, PC Bus Unit, Project, Activity, and Open Item Key (required for transactions to travel account codes beginning 6). You can hide Oper Unit and ChartField 1 only if your unit never uses Oper Unit and ChartField 1.

With the appropriate value(s) selected, click the Hidden option.

The An Type value is now hidden and will no longer display in the chartstring. 

To view the changes before applying them, click the Preview button.

The selected options are displayed at the bottom of the window.

To apply the changes, click the OK button.

The Lines tab is displayed now with the ChartField values in the personalized order.

If you scroll to the right of the page, you will find all of your non-frozen values condensed at the end of the chartstring.

To review these values, use the scrollbar.

As you scroll, the additional fields are displayed.

You have the option to personalize many aspects of your profile within UGA Financials.

Within the Totals section, click the Grid Action Menu button.

The Grid Action Menu is displayed.

Click the Personalize link.

The Grid Customization window is displayed. From this page, you can change the order that the values are displayed.

Click the Journal Status list item.

With the appropriate value(s) selected, you can move the item(s) up or down using the arrows.

Example shown here: the Move Up button.

The selected values are moved.  The Hidden and Frozen functions work in the same manner as in the Lines section.

Frozen and Hidden items are indicated to the right of the value.

With all the appropriate selections made,

click the OK button.

The selected options are applied to the Totals section.
