This article explains the steps to look up documents using the Encumbrance # in the Perceptive Content 7 system.

   Instructions   

  1. Step 1: Click the Documents drop-down button to activate the menu.
  2. Step 2: Click the + sign to expand the Subcontract (External) section.
  3. Step 3: Click the Search By Encumbrance # link.
  4. Step 4: Enter full Encumbrance # or a partial number with a % wildcard into Encumbrance # field.
  5. Step 5: Click the OK button.
  6. Step 6: The search result displays multiple documents.
  7. Step 7: Scroll through the identifying fields.
  8. Step 8: Double-click the Type column header.
  9. Step 9: Double click the appropriate row.
  10. Step 10: The document will open in a new window.
  11. Step 11: Click the Next Page button.
  12. Step 12: Click the Next Document button.

Click the Documents drop-down button to activate the menu.

A list of your "Views" will be accessible on the left side of the screen. Default views will be populated, but you can also create custom views that will be accessible every time you log in.

Click the + sign to expand the Subcontract (External) section.

Note: You can search by one of the document's index values or custom properties. These are searchable fields for the document. For SPA, many of these fields are the same, but some are customized to the document.

Click the Search By Encumbrance # link.

The Select a Search Value window displays.

You may enter the full Encumbrance # or a partial number with a % wildcard into the Encumbrance # field.

Example shown here: Enter "S001387".

Click the OK button.

The search result displays multiple documents.

Note: You can scroll to the right to see additional fields. You also have the option of customizing the order in which fields display for you. For example, if you would like to see the 'Type' field without scrolling, simply drag this over and it will be placed on this view for future searches.

Scroll through the identifying fields to determine the document you would like to view.

Fields are expandable to see the full name. Double-click the Type column header to see the Type of the document.

To open the document, you can double click the appropriate row.

The document will open in a new window.

You can click the Next Page button to scroll between pages in a document.

Click the Next Page button.

You can click the Next Document button (double arrows) to go to the next document.
